Administrative Assistant – Program Management Office (PMO)

Are you an organized and proactive individual eager to support a dynamic team? We are looking for an Administrative Assistant to join our Program Management Office (PMO).

Your Responsibilities:

  • Team Support:
    • Assist the Head of Program Management and the PMO Team (program, project and product managers) with various administrative tasks.
    • Serve as the primary contact for all administrative processes.
  • Document and Report Preparation:
    • Draft, review, and finalize documents, including confidential ones.
    • Research and compile information to create reports, briefings, and presentations for clients.
    • Support budget and performance reporting by organizing and consolidating relevant data.
  • Information and File Organization:
    • Maintain and enhance e-filing systems for efficient document management.
    • Keep records current and easily accessible.
  • Meeting and Event Management:
    • Organize meetings, prepare agendas, and take detailed notes.
    • Co-ordinate with team members to ensure all arrangements are in place.
  • Project and Process Support:
    • Assist in planning, tracking, and reviewing project budgets.
    • Help develop and refine office systems and procedures to improve efficiency.
  • Backup Support:
    • Provide as a back up to the receptionist, together with the other assistants.

Your profile:

  • Education and Experience:
    • A bachelor’s degree in a relevant field.
    • Ideally, 2-5 years of experience in an administrative role. Experience in project planning is a plus!
  • Language Skills:
    • Dutch (excellent), English (very good), French (good). Spanish is a bonus.
  • Technical Skills:
    • Knowledge in MS Office (Word, Excel, PowerPoint).
  • Core competences:
    • Strong organizational and planning abilities.
    • Discretion when handling sensitive information.
    • A proactive attitude and hands-on approach.
    • Excellent communication skills and a team-player mindset.
    • Flexibility and a customer-focused approach.
